Oakledge Security Camera Policy
The Oakledge Board of Trustees has installed a security system with cameras in the Clubhouse. The
security system is designed to protect the safety and wellbeing of Oakledge members, their guests and
the clubhouse. The clubhouse is a community-use building and is not meant for the privacy of individuals.
Community members should understand that outside of reserved parties, the rooms are meant to be open
and shared with the community. The security system will not be armed and will not need a password, but
video cameras, without audio, will capture motion at all times.
Location of System:
● Cameras have been placed to monitor entrances to the clubhouse and also in the gameroom.
● Security System Touch Panels have been placed at each entrance
System Logs & Notifications:
● The system records the times the doors are opened
● The system records the times when there is motion
● Notifications are sent when doors are left open for 30 minutes.
Access to Video Footage:
● Access to video footage will be restricted to the maintenance manager and the president of the
board.
● The footage will only be reviewed if there is damage to the clubhouse or complaints/instances of
not following the rules.
● Video footage will not be downloaded from the system and distributed at any time.
● Footage will be reviewed within the system; still pictures could be distributed to board members to
determine the identity of an individual, but should not be forwarded without the consent of the
board.
● For security purposes, the password to access the system will be changed every 6 months
Tampering with System:
● Any touching, blocking or obscuring the view of the cameras will be considered an infringement of
the clubhouse rules and will be followed up with by the board.
● If damage occurs after cameras are blocked and there is no footage due to the blockage, the
costs to remediate any damage will be the responsibility of the individual/family of the individual
that impacted the equipment,friends/relatives will be considered an extension of the family.
● Infringements will be discussed by the board and dealt with based on the severity and the
recurring nature of the issue.
